SHIPWISE: Reduce eBay-to-eParcel data entry by 90% (Useful for Australian eBay sellers only)
Convert, edit, and upload your eBay sales to Australia Post's online eParcel system:
Limetrade ShipWise will quickly and easily convert your sales records from eBay to a file you can upload to Australia Posts' new web based version of their eParcel system.
You can edit, add, or delete records along the way, and choose which records you wish to upload, all with a few clicks.
ShipWise will eliminate the tedious data entry needed with the new online eParcel system, as well as doing the necessary postcode/suburb matching that is needed to clean up the addresses.
What ShipWise does to help:
Designed for the new web-based eParcel system (only)
Import your selected eBay sales records names and addresses to eParcel
Suburb / Postcode matching and cleanup as required by eParcel
Capitalize all names and addresses for better readability.
Abbreviate most common carriageway descriptions (road = rd, street = st etc)
Expand slashes for better readability ( 1/112 Smith Street becomes 1 / 112 Smith St)
Auto select / exclude selected eBay shipping types with your defaults (see below for details)
Auto select signature-required (as per defaults you set for eBay shipping type)
Uses Selling-Manager invoice details (see below for details)
Allows editing of invoices prior to upload to eParcel
Shows the item(s) to be sent on each order
Email any customer with a button click
Uploads customer phone number for printing on eParcel label (optional)
Used 'Notes To Yourself' on eBay as eParcel label delivery instructions (optional)
Quick and easy suburb / postcode database with partial-match search
Special delivery instructions:
If you or your customer-service staff need to enter any special delivery instructions for an eBay record they can simply save the information in the 'Notes To Yourself' section for that sale in Selling Manager invoice.
This data in then carried right through to print as 'Delivery Instructions' on the eParcel label.
This can be selected as the default action, or you can individually select which notes are passed through as delivery instructions one-by-one as required when stepping through the records in Shipwise.
Why is this useful? When you or your staff are processing customer emails or messages you will often find customers have changed address or have special instructions for delivery.
The person processing the emails can simply save the customers special instructions in the eBay online invoice and know this message will pass right through to the eParcel label.
This saves staff having to take notes and manually intercept the sales records prior to despatch, which not only saves your business time but also prevents possible delivery errors.
Express or Standard? / Signature Required?:
You can select if a signature is required or not, depending on the shipping method that was selected in eBay.
EG: you can set 'Standard' shipping to not require a signature, and 'Registered' to require a signature.
You can also select if the eParcel shipment is to be Standard or Express depending on the eBay shipping type selected.
Each shipping type can also be selected to go by eParcel or to be excluded from eParcel. (eg: You can select 'Courier' and 'Pickup' methods to be excluded from the eParcel upload altogether)
All these selections are automatically applied individually to each eBay record as you import them.
These selections call then be manually reviewed and changed record-by-record prior to exporting to eParcel if required.
Postal address cleanup:
Postcode / suburb mismatches are common when dealing with customer entered addresses. The most common mistakes are automatically cleaned up. Examples of ShipWise auto-cleanup for postcode / suburb mismatches include:
> Abbreviations such as Mt Martha, Pt Leo, and Raymond Trce are corrected.
> Suburb being in address line 2 or on the end of address line 1 are shifted.
When ShipWise cannot safely correct a mismatch a selection list of suburb names are presented.
Names and delivery addresses are capitalised for better postal readability.
Also increasing readability is the automatic expanding and spacing of slashes and carriageway name abbreviation.
As an example: the address " 1/152 Smith street " will become: 1 / 152 SMITH ST
Correct eBay sales records are used:
One major bug in automatically downloading eBay invoices via eBays' API interface is that you will not be downloading any edits or changes that have been made to the customer name and address.
As of January 2008 this eBay error still exists and this is the main reason we have chosen to keep ShipWise using the manual eBay CSV download system in place.
Edits that customer service staff make to invoices in Selling Manager will be downloaded correctly and sent on to eParcel.
(These edits are lost if using a system automatically connecting to eBay to download)
This allows you to have staff working on your eBay account online anywhere in the world and you will know the warehouse will get all the edits and changes when they download the eBay sales data for eParcel dispatch.
If you are running a large eBay business with multiple staff accessing eBay online sales through Selling Manager Pro then ShipWise is your best solution.
ShipWise also allows you to edit or delete any of the sales entries prior to saving the file for upload.
Package size and weight entry:
ShipWise lets you enter the package dimensions and weight for each record quickly and easily. This is far faster than using the online method.
The item(s) to be sent in each record are displayed so you can enter the size and weight details without having to look up the invoice.
Default size and weight are set in ShipWise so if many of your sales are the same size and weight you can skip most of this data entry automatically !
How to use ShipWise:
The basics: Download the CSV file from eBay of all your 'Ready To Ship' invoices. (Then mark them all as 'Posted' on eBay or come back to eBay later and select the downloaded items one-by-one to mark as posted)
Import the CSV file to ShipWise and correct any suburb errors that have not been fixed automatically. (Items with errors will be flagged in red and will not be exported, repair the address error then mark for eParcel if needed)
Deselect any sales you do not wish to send to eParcel then Export/Save the ShipWise file.
Log into your eParcel account online and Import the file you just saved with Shipwise.
That's about it, from there you just finish off the label printing and consignment shipping as you normally would with eParcel.
This should reduce your time spent on the eParcel system by about 90%
ShipWise setup:
ShipWise lets you select which eBay sales will be selected for eParcel processing automatically, depending on which shipping method was selected in eBay. These settings are used to automatically select Standard eParcel, Express eParcel, or no eParcel when the sales are imported into ShipWise.
Each item can still be selected for standard / express / or no eParcel shipment individually as required prior to generating the eParcel shipment file for upload.
Planned or in-progress features:
- Printing Tax-Invoices
- Item size / weight memory
Download Limetrade ShipWise now, it's a free download . . . Downloads.
(Please note: This version will time-out after a few months, you will need to come back for an update. This is to ensure any bugs that are fixed with software updates will not remain in the public domain)
